The ease of adopting new AI tools can make it tempting to move fast without asking the right questions. A short pause at the selection stage pays off in fewer problems down the line.
What problem does this actually solve? Start with the workflow challenge, not the tool. The best AI tool adoption starts with a clear sense of where the bottleneck is, not with enthusiasm about a product someone has seen demonstrated.
What data does it use and where does it go? Many AI tools send data to external platforms. Before using any tool in client-facing or sensitive work, understand what data is being shared, how it is stored, and whether that is acceptable given your obligations.
What is the output quality like in practice? Demo quality is rarely real-world quality. Pilot tools on lower-stakes work before relying on them for important projects, and develop a shared team view of where a tool is trustworthy and where it needs human review.
What does it cost to stop using it? Lock-in is a real risk with AI tools. Work that is built around a specific platform can be hard to migrate. Consider portability and dependency when evaluating any tool that will become central to your process.
Does the team actually want to use it? Tool adoption fails most often not because of technical problems but because teams do not find the tool useful or do not understand how it fits into their work. Involve the team in selection and give them time to develop their own practice.

Adopting tools is the easy part. Integrating them into a team's working practice in a way that sticks and delivers real value takes more intentional effort.

Before introducing any new tool, be clear on how your team currently works through research, ideation, and prototyping. Identify the friction points and time sinks. AI tools should address real workflow problems, not create new complexity.

The best way to learn a tool is to use it on actual work. Choose a project where experimenting is acceptable and the stakes of getting it wrong are low. Treat the first few uses as learning, not delivery.

The quality of AI output depends heavily on how you ask for it. Teams that invest in building a shared library of prompts and approaches for their most common tasks get significantly better and more consistent results.

Agree as a team on what AI-generated outputs need to look like before they are used. What level of review is required? Who checks for accuracy? What gets verified before it goes to a client? These norms prevent quality from slipping quietly.

AI tools evolve quickly, and so do team practices. Build in a regular moment — monthly or quarterly — to review what is working, what is not, and what you want to try next. Treat your AI toolkit as a living part of your practice, not a fixed setup.

When someone finds a better prompt, a more effective use of a tool, or a case where AI produced poor results, share it. Teams that create a lightweight knowledge-sharing habit around AI tools build collective capability much faster than those where individuals learn in isolation.
